Who Should Proofread A Document?

Proofreading is a very important part of preparing a written document for publication or distribution. Without it, the document is likely to contain spelling, typing or other errors that will reflect badly on both its writer and publisher. Automated spelling checkers, while very useful, are also insufficient to ensure a document is free from errors -- there are some types of errors that they cannot detect. A manual proofread is therefore necessary, so who is the best person to do it, and what skills do they need?

The fundamental requirement for a proofreader is that they should have a good knowledge of the language the document is written in, particularly in terms of spelling, punctuation and grammar. Ideally they should also be a native speaker of that language. Their knowledge doesn't actually need to be perfect, but they must not be over-confident in their ability; they must know when they're not sure whether something is correct, and thus need to consult a good dictionary. A good eye for detail and a good short-term memory are also important, so that they can reliably detect small errors and inconsistencies in word usage and formatting.

What Skills Are Required For Proofreading?

Many people have a natural skill for spotting grammar or spelling errors in written work. If you are one of those people, then perhaps you could be a proof reader. This is a job you can do from home enabling you to perhaps continue to do other things like take the kids to school. Not many tools are required for the job apart from a computer and the internet! What could be simpler!

The most basic requirement of a proof reader is to check documents and books looking at spelling and grammar. A good proof reader should look at how words and sentences flow and join together ensuring that the piece of work is easy to read and can be understood. For people who are writing in English but where English is not their first language, sentence construction is extremely important.

It is interesting that even with the advent of very advanced computer technology; proof readers are still required because although computers may have the ability to detect spelling and some grammar mistakes, they cannot interpret the flow or meaning of a document. Therefore, there will always be a need for humans to proof read!

A Proofreading Exercise For the Real World

The problem with many proofreading exercises is that they create in the novice proof reader the inaccurate belief that the documents they will be called upon to proofread will be practically splitting at the seams with errors.

The fact of the matter is the majority of any proof reader's assignments will have been produced by very skilled and extremely vigilant individuals. These skilled and vigilant individuals won't take a devil-may-care approach to their work, content to have their watchful proof reader seek out and draw attention to their errors. No, they will view the proof reader as something of a necessary evil, the equivalent of the trapeze artist's safety net.

In order to simulate real-world conditions, the piece of copy that follows contains just three errors. You may unearth the occasional grammatically dodgy clause or a phrase that offends your literary sensibilities. However, it's critical to remember that your job as a proof reader is to find literal errors and eliminate ambiguity, not to pander to hair-splitting over the odd dangling modifier or split infinitive.

Proofreading - 5 Tips to Goof Proof Your Writing

It's ironic that I'm even attempting to write about proofreading. I am bad. Make that proofreading-challenged.

My brain switch flips off when I'm supposed to be proofing my own writing. I gloss over those little mistakes that can make me look unprofessional.

I also have trouble proofing other people. I struggle to restrain myself from rewriting so I can focus on typos and technical mistakes. Or I simply get bored and skim, instead of paying the strict attention that proofing demands.

Contrary to what many people appear to assume, spell check does not eliminate the need to proofread. It sucks people into a false sentence (oops, I meant sense) of complacency. It lures them into the trap of confusing the word they intended with a similar-sounding, correctly spelled word.
